We are seeking a passionate and detail-oriented HR Junior Specialist to support our business growth in the Turkey, Greece, and Cyprus region by ensuring accurate payroll processing, maintaining employee records, and contributing to HR operational excellence. This role will assist in managing multi-country HR processes, data reporting, and compliance activities, while upholding our commitment to operational efficiency, employee satisfaction, and company values.
Key Responsibilities
Payroll and Data Management
- Audit and reconcile wide range of personnel actions and payroll documents for employees
- Process employee data (new hires, changes, additional earnings, terminations)
- Termination calculations (leave accrual, severance, notice etc.) for legal and reporting purposes in accordance with company policies
- Ensuring up to date Personnel Management System; employee list, payment/deduction, overtime, leave and other related data in compliance with company HR Policy
- Arrange and follow all correspondences and processes with Social Security Institution including new business opening, employee registration / deregistration, medical reports and missing day forms
- Assisting Management regarding bonus/incentive programs, optimal salary levels and other detailed benchmark analysis
- Process employee Time & Attendance data from the Time system to payroll and reconcile variances utilizing tools in the Time and payroll systems.
- Develop in depth understanding of Payroll Database to be able to create Ad-Hoc reports on demand
- Ensure that staffs’ payrolls are processed timely, accurately, and compliantly.
- Provide customer service to employees: in the area of pay, benefits, commissions and taxes as they relate to their pay.
- Following the commission systems closely per each department.
- Understand all aspects of payroll in regards to payroll laws and regulations
- Maintain confidentiality and security of employee and property records, files, and information.
- Ensure accurate maintenance of all employee records and files.
- Communicate and train the workforce in the compensation and benefits programs, policies and processes.
Administration
- Establish, update and communicate workplace policies and procedures (for example: employee handbook, reference guides or standard operating procedures) and monitor their application and enforcement to ensure consistency.
- Develop and implement a discipline and termination policy based on organizational code of conduct/ethics.
- Ensure that employee and labor relations activities are compliant with applicable local laws and regulations
- Assess organizational climate by obtaining employee input through the use of metrics (exit interviews, employee surveys, turnover rates)
Health and Safety
- Coordinate with our 3rd party supplier.
- Develop/select, implement and evaluate plans and policies to protect employees and other individuals, and minimize the organization’s loss and liability (for example: emergency response, workplace violence, substance abuse).
- Communicate and train the workforce on security plans and policies.
- Develop and administer internal and external privacy policies (for example identify theft, data protection, workplace monitoring).
Support for Recruitment Process
- Sourcing and attracting candidates by using databases, carrier sides, employee referrals etc.
- Collaborate with store managers on a regular basis and proactively identify future hiring needs.
- Prepare recruitment materials and post jobs to appropriate job carrier sides/universities etc.
- CV Screening, Conducting interviews (phone, massive and group interviews) and filtering candidates.
- Provide analytical and well documented recruiting reports to the management.
